Sales follow-ups
A shared follow-up board for two salespeople
Updated · by the Simpleban team
In short
When two people work the same leads — a sales desk at a dealership, an internet sales team, a broker and an assistant — follow-ups fall through the gap between them. Simpleban is a free shared kanban board for exactly two people: each customer is a card like “Sam – wants to know when the new model arrives”, in columns such as Immediate attention · Follow up · Long-term nurture · Completed. Every card has one owner, so “who's calling them?” is never a question. Hand a call to your colleague and it's at the top of their board under “waiting on you”; due dates put today's calls in the Today filter. It is not a CRM — it's the shared to-do list for the follow-ups your CRM doesn't chase.

A board that works like a sales desk
Put the customer's name and the next step in the card title (“Priya – reach out about trade-in”), and the details — phone, vehicle, stock number, what was promised — in the card's notes so your colleague has the context when they pick it up.
| Column | What goes there |
|---|---|
| Immediate attention | Hot leads and promised call-backs — today, ideally this hour |
| Follow up | Waiting on a quote, a trade-in value, stock arriving, finance approval |
| Long-term nurture | Not ready yet: check in next month, next quarter |
| Completed | Sold, lost or handed to someone else — the record of what happened |
How two people split the work
- Every card has an owner: you, your colleague, or either of you — so “who is on this?” is answered before anyone asks.
- Hand a card to your colleague and it moves to the top of their board under “waiting on you”. If they're not on the app, Simpleban emails them a few minutes later, and the next morning's 8am email mentions it once if it's still waiting — never every day. You never press a “remind” button.
- When your colleague is done, they hand it back and it reappears at the top of your board.
- Repeating cards come back on their own schedule — daily, weekly, chosen weekdays, every N days, monthly — and can alternate between the two of you.
- Due dates with a calm Today / This week filter, a private calendar feed for Google, Apple or Outlook, and a countdown on the board for the date that matters.
- Notes, checklists and comments live inside each card, so the context travels with the task.
- Put a time in the title (“call @ 10:30”) or a due date on the card, and it shows in the Today filter on both phones.
- Show only mine gives each of you a clean call list for the day.
- Your colleague joins from your invite link with a name and an email — no password, nothing to pay. Both of you have the full app on your own phone; it installs like an app and works offline for reading.
What it isn't
No dialer, no email sequences, no lead import, no pipeline reports and no CRM integration. Simpleban is the board between the two of you, for the follow-ups that live in your head or on sticky notes today. If your dealership or company already runs a CRM, keep it as the system of record and use this for who calls whom next.

Questions, answered
- Is this a CRM?
- No. It's a shared task board for two people. Customer records, quotes and deal history stay in your CRM or DMS; Simpleban keeps track of the next step on each lead and who owns it.
- Can I hand a lead to my colleague?
- Yes. Pick them as the owner and the card moves to the top of their board under “waiting on you”. If they're not on the app, they get one short email — and when it's done they can hand it back.
- Will customer details be private?
- Your board is private to the two of you. Nothing is public unless you create a read-only share link yourself. Keep payment and ID details in your company's systems, not on cards.
- Does my colleague pay?
- Simpleban is free forever for two: you and the one person you invite get every feature, unlimited boards and cards, no trial and no credit card. The promise is written into the Terms: nothing that is free today will ever move behind a paywall, and your +1 never pays. If you need more people or want to share boards beyond your +1, we'll soon introduce subscription tiers — a flat rate, never per seat.
- Can I use it with more than two people?
- Simpleban is built for two people, and for two it stays free forever. If you need more people or want to share boards with someone new, we'll soon introduce subscription tiers — a flat rate, never per seat. Until then, read-only share links let anyone else follow a board without editing.
